Language Test Preparation — The Classroom

Offer Letter & Acceptance

After submission, we track your application and communicate with institutions on your behalf. Upon receiving the offer (conditional or unconditional), we explain the terms and advise on acceptance. For conditional offers, we support you in fulfilling the conditions — retaking a language test, completing a foundation year, or meeting GPA requirements — before the deadline.

Visa Documentation & Filing

Each destination has different visa requirements. Active Abroad prepares the full visa file: COE/CAS/LoA from institution, bank statements, sponsor letters, insurance, medical clearances, and embassy-specific forms. We coordinate biometrics (VFS Global, Kathmandu) and track your application to decision. Japan: COE application takes 1–3 months — we start this immediately after offer acceptance.

Pre-Departure Orientation

Before you fly, Active Abroad conducts a mandatory Pre-Departure Orientation covering: destination city overview, accommodation options, bank account setup at destination, transport, SIM cards, part-time work rules, cultural norms, emergency contacts, and health insurance activation. Japan-bound students receive additional Nippon Connect cultural briefing in Japanese etiquette, daily life, and communication styles.

Your institution registers with Active Abroad as a partner institution. We sign a Memorandum of Understanding (MOU) that defines the terms: commission structure, required entry standards, communication channels, and responsibilities. No upfront fees — we earn a commission only when a student successfully enrols.

Programme & Entry Requirements Brief

You provide us with your institution's course catalogue, entry requirements (academic grades, language scores, age limits), tuition fees, intake dates, and any scholarship or waiver schemes. We study this thoroughly so our counsellors can accurately match and brief students.

Student Marketing & Promotion

Active Abroad markets your institution to our student base through: in-office counselling sessions, WhatsApp/Viber broadcast to registered students, social media promotion, our website partner listing, and education fairs in Kathmandu and other cities. We present your institution honestly and professionally.

Student Screening & Pre-Qualification

We only refer students who meet your stated entry requirements. Before submitting any application, we verify: academic transcripts (and have them translated/notarised), language test scores, financial capacity, and visa history. You receive document-ready, pre-screened applications — saving your admissions team time.

Application Submission & Admissions Liaison

We submit the complete application on the student's behalf through your preferred channel (portal, email, or direct agent link). We follow up on pending decisions, provide additional documents when requested, and coordinate between the student and your admissions team until an offer is issued.

Enrolment Confirmation & Commission

Once the student accepts the offer, pays the deposit, and enrols, Active Abroad invoices the institution for the agreed commission (typically 10–15% of first-year tuition, or as per your standard agent rate). We provide enrolment confirmation and maintain records for compliance and audit purposes.

On each successful enrolment from your referral, you earn a commission — paid promptly after the institution confirms enrolment. Agents can also introduce new institutional partners to Active Abroad. If a college or university you introduce signs an MOU with us, you earn a referral bonus on the first year of successful placements. This lets you earn from both sides — student referrals and institution introductions.

Start at Japanese language school (1–2 years), then progress to Senmon Gakko (専門学校) — 2-year vocational college in IT, design, cookery, hospitality, anime, or nursing. Most accessible route; N3 usually sufficient.

Pathway 2
Language School → University

Language school 1–2 years, then university (大学) entry. Requires EJU (Examination for Japanese University Admission) or JLPT N2. Bachelor's 4 years. Strong for STEM, Business, and International Studies.

Pathway 3
Graduate Study (Master's / PhD)

Direct entry to Japanese graduate schools. MEXT scholarship (全額免除) available — covers tuition, living allowance, and airfare. Requires research proposal and professor pre-acceptance. English-taught programmes available.

SSW — Specified Skilled Worker
